Privacy Notice

For everyone who fills in our forms, writes to us or subscribes to the newsletter: what data we process, why and for how long, who we share it with, and your rights.

Who is responsible for your data?

This notice is prepared under Article 10 of the Turkish Personal Data Protection Law No. 6698 (“KVKK”). If you are in the EU/EEA, your rights under the General Data Protection Regulation (GDPR) also apply.

  • We only process the information you give us in our forms; our web forms never ask for passport, card or payment details.

  • Your data is not sold or passed to third parties for advertising; it is shared only with those needed to handle your registration, and only as far as necessary.

  • We ask for separate consent for the newsletter, and you can withdraw it at any time.

  • This site uses only strictly necessary cookies, so no cookie banner is shown.

What we process, why, and who we share it with

2. What data we process

Which data we process depends on the form you fill in and the stage of your registration:

  • Identity and contact: name, surname, email, phone/WhatsApp, LinkedIn profile.
  • Professional details: company name, position, sector, website, country and country of residence.
  • Participation details: selected package, product groups and purchasing interests, agent code, meeting preferences, accommodation/transfer details (only in the relevant package), payment status.
  • Travel documents: collected only from confirmed participants and outside the web form: passport details and flight details; only for badges, the participation confirmation letter and transfer planning.
  • Technical data: submission time, IP address (hashed), browser details; for security and bot protection.

3. Why we process it

We process your personal data for the following purposes:

  • To assess your application and reply to you
  • To verify your registration
  • To issue proformas, contracts and invoices
  • To match B2B meetings
  • To handle badges, the participation confirmation letter and (if included in your package) accommodation and transfers
  • To reconcile commissions with agents
  • To inform you about the forum
  • To meet our legal obligations

4. Legal bases

Processing relies on the following provisions of the KVKK:

  • Art. 5/2-c: conclusion and performance of a contract
  • Art. 5/2-ç: compliance with a legal obligation
  • Art. 5/2-f: legitimate interest (form security, application tracking)
  • Art. 5/1: your explicit consent, for the newsletter and, where required, for international transfers

5. Who we share it with

Your data is shared only with the following recipients and only to the extent necessary:

  • The forum team and the authorised staff of the organising company
  • The country agent following your registration (only if you entered an agent code, and only the status of your registration)
  • Exhibiting Turkish companies (only name, company, position and contact details, and only for B2B meetings you have confirmed)
  • Venue, hotel and transfer suppliers (only for services included in your package and only as far as necessary)
  • Accountants, banks and legal authorities (invoicing and legal obligations)

International transfers

The website and form infrastructure run on Cloudflare (hosting) and notification emails on Resend (email delivery); these providers’ servers may be located outside Türkiye. International transfers are made in line with the conditions set out in Article 9 of the KVKK and, where required, with your explicit consent.

6. How long we keep it

Your data is kept for as long as the purpose of processing requires and in line with statutory retention periods:

  • Application data: deleted or anonymised once the forum is over, related correspondence is concluded and the purpose of processing no longer applies.
  • Contract and invoice data: for the statutory retention period (10 years).
  • Newsletter data: until you unsubscribe.
  • Travel documents: deleted shortly after the forum is over.

7. Your rights

Your rights under Article 11 of the KVKK

By applying to the data controller, you can exercise the following rights:

  1. To learn whether your personal data is processed
  2. To request information if it has been processed
  3. To learn the purpose of processing and whether the data is used in line with it
  4. To know the third parties to whom it is transferred, in Türkiye or abroad
  5. To request correction if it is incomplete or inaccurate
  6. To request deletion or destruction under the conditions set out in the KVKK
  7. To request that corrections, deletions and destructions are notified to the third parties to whom the data was transferred
  8. To object to a result that works against you and was produced exclusively by automated analysis
  9. To claim compensation for damage caused by unlawful processing

How to apply

Send your request, with enough information for us to verify your identity, to the email address below or in writing to the data controller’s address above.

Requests are answered within 30 days at the latest, in line with Article 13 of the KVKK.

Cookies and updates

8. Cookies

This site uses only cookies that are strictly necessary for it to work; there are no marketing or tracking cookies.

Visit statistics are collected with Cloudflare Web Analytics, which uses no cookies and processes no personal data. For this reason no cookie banner is shown.

9. Updates

This notice is updated when necessary; the current version and the date of the last update are published on this page.
